Managing Account Status
Private accounts have status indicators that help you organize your active and inactive accounts. Status is mostly organizational, but it does affect what shows up in your KPI card totals at the top of the page.
The Three Status Options
Active:
What it means: You're currently trading this account.
When to use:
The account is open and funded
You place trades regularly
It's part of your active trading operation
Color: Green badge
Paused:
What it means: The account exists but you're not currently trading it.
When to use:
Taking a break from trading this account
Waiting to add more funds
Temporarily focusing on other accounts
Account is in a drawdown and you're stepping back
Color: Yellow/Orange badge
Closed:
What it means: The account is no longer in use.
When to use:
You withdrew all funds and closed the account
The broker closed your account
You're no longer using this broker
The account is effectively dead
Color: Gray badge
How to Change Status
Open the account by clicking on it in the table
Find the status field in the Overview tab
Click to change
Select the new status
Changes save automatically
You can also use the three-dot menu on table rows for quick status changes.
Status Does Not Affect
Your financial data:
Balance history remains intact
Deposits and withdrawals stay recorded
P&L calculations within the account don't change
Historical metrics:
Past performance is preserved
Account history is always accessible regardless of status
Status Does Affect
KPI card totals at the top of the Private Accounts page:
Only Active accounts feed into Total Private Equity, Net Trading P&L, and Net Cash Flow
Paused, Closed, and Archived accounts are excluded from these totals
Each account's own P&L and balance history is preserved and always visible inside that account, just not rolled up into the headline numbers
Default views:
"Active" accounts typically show by default
You may need to filter to see Paused or Closed accounts
Mental organization:
Helps you focus on what's currently relevant
Separates past from present
Counts and summaries:
The "Active accounts" count only includes Active status
When to Change Status
Mark as Paused when:
You're taking a trading break but keeping the account open
You want to focus on other accounts temporarily
You're evaluating whether to continue with this account
The account has minimal balance and you're not adding more yet
Note: Paused accounts are excluded from your KPI card totals, so pausing an account removes it from the headline numbers until you set it back to Active.
Mark as Closed when:
You've withdrawn all funds
The account is officially closed with the broker
You have no intention of using it again
You want it out of your active view but preserved for records
Keep as Active when:
You trade it regularly
It's part of your current strategy
It has capital you're managing
Archiving vs. Closing
Closing (status change):
Account still appears in the system
Status shows "Closed"
Historical data fully accessible
Archiving (separate action):
Account is hidden from default views
Can be unarchived later
Useful for old accounts you rarely need to see
Some users set status to Closed AND archive the account for maximum cleanliness. Paused, Closed, and Archived accounts are all excluded from KPI card totals, so only Active accounts feed the headline numbers.
For a full explanation of how archiving works across every module, including what stays in your charts, metrics, and exports, see Understanding the Archive Function.
Viewing Accounts by Status
Use the view toggles or filters:
All Accounts: Shows everything
Active: Only active status
Closed: Only closed status
Or use the filter panel to select specific statuses.
Status History
When you change status, the platform may record this as an event:
"Status changed from Active to Paused"
Timestamp of the change
This creates an audit trail of account lifecycle.
Multiple Accounts Strategy
If you have multiple private accounts, use status strategically:
Example setup:
This keeps your focus on what matters while preserving history. Only the two Active accounts feed your KPI card totals, the Paused and Closed ones stay visible in the table with their data intact.
Status and Reporting
When generating reports or reviewing metrics:
KPI cards (Total Private Equity, Net Trading P&L, Net Cash Flow) reflect Active accounts only
Paused, Closed, and Archived accounts are excluded from these aggregates
Each account's individual data is preserved and viewable regardless of status
Know how your chosen status and filters affect what you see.
Best Practices
Keep Status Current
When you stop trading an account, update the status. Don't leave accounts showing "Active" if they're not.
Use Paused for Temporary Breaks
Use Paused when you might return to the account later. Closed is for accounts you're truly done with. Note that Paused accounts are excluded from your KPI card totals while paused, so if you want the account counted in the headline numbers, keep it Active.
Close Formally
When an account is truly done, mark it Closed. This helps you recognize your actual active account count.
Review Periodically
Every few months, review your account list. Are statuses still accurate? Are there Paused accounts that should be Closed (or reactivated)?
Consider Archiving Old Closed Accounts
If you have many Closed accounts cluttering your view, archive them. They'll still exist for historical purposes and remain searchable.
