Reports Overview

The Reports page lets you generate tax-ready financial reports for your trading business. These reports summarize your income, expenses, and net profit/loss in formats suitable for record-keeping and tax preparation.

What Reports Are Available

The platform provides three main reports:

1. Annual Tax Summary

A complete overview for the period you select:

  • Total funded account payouts

  • Total challenge costs (net of refunds)

  • Business expenses by category

  • Net business result

Best for: Year-end tax preparation, annual business review

2. Income Report

A detailed list of all income transactions:

  • Payouts from funded accounts

  • General business income (e.g. coaching, affiliate)

Best for: Documenting revenue sources, income verification

3. Expense Report

A complete list of all business expenses:

  • Challenge costs

  • Challenge refunds (shown as negative expense rows, reducing your total)

  • Software and tools

  • Education and coaching

  • Other business expenses

Best for: Documenting deductions, expense tracking

How Refunds Are Treated

Challenge refunds are treated as cost recoveries, not income. They appear in the Expense Report as negative rows that reduce your total challenge cost — never in the Income Report.

This matters because a refund isn't money you earned, it's money you didn't end up spending. Treating it as income would overstate your revenue and understate your costs, throwing off both numbers.

Cash-Basis Reporting

All reports use cash-basis accounting. This means:

  • Income is reported when received, not when earned or invoiced

  • Expenses are reported when paid, not when billed

Only transactions marked as Paid and payouts marked as Approved appear in reports. Unpaid or pending items are excluded.

This aligns with how most individual traders report income for taxes.

What's Included and What's Not

Included:

  • Paid general income and paid general expenses

  • Approved payouts

  • Challenge costs (paid)

  • Challenge refunds (as negative expense rows)

  • Archived records — your full history is in the report regardless of archive status

Not included:

  • Unpaid transactions and pending payouts

  • Private account trading P&L, deposits, and withdrawals — these are personal trading activity, not business activity, so they never appear in any report or tax export

If you trade private accounts and need that data for personal records, you can view it in the Private Accounts module directly.

Currency Handling

Reports are grouped by native currency with no FX conversion.

If you have activity in multiple currencies:

  • USD transactions appear in a USD section

  • EUR transactions appear in a EUR section

  • They are not combined or converted

This approach ensures accuracy — exchange rates fluctuate, and converting would introduce inconsistencies. Your tax professional can advise on how to handle multiple currencies for your situation.

Choosing Your Date Range

The Reports page uses a date range picker directly on the page. Pick the period you need at export time:

  • This Year — current year to date

  • Last Year — full previous year

  • Last Quarter — the previous 3-month period

  • Custom range — any start and end dates you choose

There's no fiscal year setting to configure in advance — you pick the period when you export. This lets you run a tax-year export, a quarterly review, and a custom one-off range without changing any settings.

Accessing Reports

  1. Navigate to Reports in the sidebar

  2. Pick your date range at the top of the page

  3. Choose the report you want (Annual Tax Summary, Income Report, or Expense Report)

  4. Click to export as CSV

CSV

  • Raw data in spreadsheet format

  • Clean single-table layout — one row per transaction, one disclaimer line at the bottom

  • Report metadata (business name, period, report type) is in the filename, not inside the file

  • Dates in YYYY-MM-DD format

  • Imports cleanly into Excel, Google Sheets, or accounting software

Both formats contain the same data — just presented differently.

Private account activity is excluded from all reports.

Report Timing

For Tax Preparation

Generate reports after the period ends and all transactions are recorded. Make sure all Paid statuses are current and payouts are marked Approved before exporting.

For Ongoing Review

Generate reports anytime to see where you stand. Quarterly reports help track progress through the year.

For Accountants

Export PDFs to share with tax professionals. The CSVs are ready to import directly into spreadsheet or accounting tools.
