Understanding the Archive Function
Archiving lets you hide records you no longer need in your day-to-day view (completed challenges, closed accounts, old transactions) without losing any of their data. It keeps your working screens clean while preserving your full history.
What Archiving Does
When you archive a record, two things happen:
It leaves your active views and current metrics. The record disappears from your default filters (Active, Failed, Completed, Income, Expenses, and so on) and stops affecting your current performance metrics, KPI cards, the Sustainability Meter, Avg. Monthly Cost, Challenge Conversion Rate, and Avg. Payout Size.
It stays in your historical records. Nothing is deleted. The record continues to appear in:
Your Monthly Net P&L and Money In vs Money Out charts on the Dashboard, so your 12-month trend always reflects what actually happened
The Archived view within each module, so you can always reference, review, or unarchive it
For challenges, funded accounts, and transactions: your tax-ready CSV exports, so every cost, payout, and business transaction is still captured at tax time
Archive vs Delete
These do very different things. Choose based on whether you want to keep the data.
Archive hides a record from your default view, but keeps everything:
The record and all its data are preserved.
It still counts in your historical charts, the yearly calendar, and reports (for the period it belongs to).
It's removed from your current-view KPI cards and lists so it doesn't clutter your day-to-day.
It's fully reversible. You can unarchive it any time.
Delete permanently removes a record:
Delete is available on every record in Trader Node, including challenges with costs and funded accounts with payouts.
When you delete something, its linked records go too. Deleting a challenge deletes its cost entries. Deleting a funded account deletes its payouts and refunds.
A deleted record is removed from the system and from every total, chart, calendar, and report that used it.
This cannot be undone. There is no reversal entry and no recovery.
Which should you use?
Use Archive when the record is real and part of your history, but you're done with it day-to-day. This is the safe default for finished business.
Use Delete only when a record shouldn't exist at all, like a duplicate or something entered by mistake.
If you're ever unsure, archive it. You can always delete later, but you can't recover a delete.
How to archive
You'll find Archive in the record's detail drawer, in the row's action menu, and as a bulk action when you select multiple records. To see archived records, use the "Show Archived" toggle or filter. To bring one back, open it and choose Unarchive.
