Keeping Your Records Up to Date
Accurate data leads to accurate insights. Building a simple maintenance routine keeps your platform useful without becoming a burden.
Why Timeliness Matters
Fresh Data = Relevant Dashboard
Your Dashboard reflects what's in the system. Outdated records mean outdated insights.
Easier Entry
Recording a transaction today is easy—you remember the details. Recording it three months later requires digging through statements.
Tax Readiness
Come tax time, everything is already recorded. No panic-driven data entry in April.
Habit Formation
Regular updates become automatic. Sporadic updates feel like chores.
Daily Habits (5 Minutes)
After Receiving a Payout
When a prop firm payout hits your account:
Open Funded Accounts
Add or update the payout
Mark as Approved
Time: 1-2 minutes
After Paying an Expense
When you pay for something:
Open Transactions
Add the expense
Mark as Paid
Time: 1-2 minutes
After a Challenge Event
When something significant happens (started, passed, failed):
Open Challenges
Update status or phase
Add notes if helpful
Time: 1-2 minutes
Weekly Review (15-30 Minutes)
Pick a day—Sunday evening or Monday morning works well.

Triggers for Immediate Updates
Some events should be recorded immediately:
Making It Easy
Browser Bookmarks
Bookmark the pages you use most:
Challenges page
Funded Accounts page
Transactions "Add" modal
Mobile Access (if available)
Quick updates from your phone when you're not at your desk.
Email/Calendar Reminders
Set a weekly reminder: "Update Trader Node - 15 min"
Batch Similar Tasks
Instead of one entry at a time throughout the week, save up similar items and enter them together.
Common Update Scenarios
"I forgot to record expenses last month"
Gather receipts and statements. Add transactions with their actual dates. Mark as Paid.
"My Dashboard doesn't match what I expect"
Check date range. Verify all payouts are marked Approved. Verify all expenses marked Paid.
"I have several challenges but no time to update"
Quick batch update: Open each challenge, update status only (skip notes). 5 minutes total.
"I'm behind on private account balances"
Import your latest statement. It will catch up balance and transactions.
Warning Signs You're Falling Behind
Dashboard shows $0 when you know you've been active
Last recorded transaction is months old
You can't remember what a challenge name refers to
Tax time arrives and records are incomplete
If you notice these, schedule a catch-up session.
The Maintenance Sweet Spot
Too little: Data is stale, Dashboard is useless, tax time is stressful.
Too much: You spend more time recording than trading.
Just right: Quick daily entries, brief weekly review, thorough monthly check.
Find the rhythm that keeps data fresh without becoming a burden.
