Filtering and Searching Transactions

As your transaction list grows, you'll need ways to find specific entries quickly. The Transactions page provides search, filters, and sorting to help you navigate your data.

The Search Bar

Located in the toolbar above the transactions table.

What You Can Search

Type to find transactions by:

  • Transaction name

  • Notes content

  • Category name

How It Works

  • Results filter as you type

  • Not case-sensitive

  • Partial matches work ("Trading" finds "TradingView subscription")

Clearing Search

Click the X in the search bar or delete your text to show all transactions.

Filter Options

Click the Filter button to access filtering options.

Type Filter

Filter by transaction type:

  • Income

  • Expense

Or show both.

Expense Filter

When you filter by Expense, the expense sub-filter narrows to where the cost came from:

  • General Expenses — tools, software, education, data, and other costs entered in Transactions

  • Challenge Costs — evaluation purchases tracked in the Challenges module

Withdrawals are not included here. A withdrawal is a movement of your own capital, not a business expense, so it never appears in the expense filter.

Category Filter

Show only specific categories:

  • Tools & Software

  • Education & Coaching

  • Data & Research

  • Consulting

  • Affiliate

  • Other

Select one or multiple categories.

Payment Status Filter

  • Paid — Transactions that have been paid

  • Unpaid — Pending transactions

Date Range Filter

Show transactions within a specific period:

  • Last 30 days

  • Last 90 days

  • This year

  • Last year

  • Custom range

Clearing Filters

  • Clear all: Click "Clear Filters" when filters are active

  • Clear one: Open filter panel and deselect individual options

A badge shows how many filters are active.

Using Tags for Organization

Tags provide flexible categorization beyond the standard filters.

Suggested Tag Ideas

By project:

  • Q1 Goals

  • Trading Setup

  • Education Phase

By tax category:

  • Deductible

  • Capital Expense

  • Review with Accountant

By priority:

  • Essential

  • Nice to Have

  • One-time

Adding Tags

When creating or editing a transaction, add relevant tags.

Filtering by Tags

Select tags in the filter panel to show only matching transactions.

Quick Filter Toggles

Above the table, you may see quick toggles:

  • All: Show everything

  • Income: Only income

  • Expenses: Only expenses

These provide one-click filtering for common views.

Tips for Effective Searching

  1. Search by partial name — "VPS" finds "VPS Hosting January"

  2. Use filters for bulk views — Finding all software expenses

  3. Use search for specific items — Finding one particular transaction

  4. Combine search and filters — Search "John" within Income type to find a specific client payment

Working with Large Transaction Lists

If you have hundreds of transactions:

Use Date Filters First

Narrow to a specific period before other filters.

Export for Analysis

Export to CSV and use Excel for complex filtering or analysis.

Archive Old Transactions

If available, archive very old transactions to keep the active list manageable.

Common Questions

Why can't I find a transaction I know exists? Check your filters. You might have a filter active that's hiding it. Click "Clear Filters" and try again.

How do I see all transactions from a specific month? Use the date range filter with a custom range set to the first and last day of that month.
